Volunteer Job Descriptions
It takes about 30 volunteers to run a successful swim meet! Whether you want to be in the middle of the action or help behind the scenes, there is a role for everyone. In most jobs you can leave your post to watch your child swim. There is no job that cannot be easily learned, and veteran volunteers will be available to assist first-timers
If your child is swimming in a meet, look to volunteer for a job for that meet via this Old Farm (OF) SwimTopia website (early birds get choice/preference!) - it is important to spread the load of these important duties over the course of the season. Below are descriptions of key positions needed at each meet.

Deck Officials
MCSL TRAINING REQUIRED
The chief official. Responsible for the conduct of the meet and the final authority on rule enforcement and interpretation.
Controls the swimmers until a fair start is made. Commands the race start and identifies false starts.
Ensures technical compliance for strokes, turns, and finishes. Perfect for parents who want to learn the mechanics of swimming.
Meet Operations
WE CAN TRAIN YOU!
Works a stop-watch to time swimmers (will be paired with other timers- 3 timers/lane). Training is provided before each meet. One more experienced timer in each lane will also record times on the timer sheet.
The Head Timer acts as the safety net for the timing team, starting two backup watches for every heat to provide a time if a lane timer’s watch fails. At home meets the HEAD TIMER is in charge of all the timers. At away meets the ASSISTANT HEAD TIMER assists with leading the timers
Works with the coaches and announcer to control the flow of swimmers to the starting blocks. Checks-in OF swimmers, provides OF swimmers with their assigned lane and heat, and has them wait in the designated area until it is time for them to go to their starting block.
During the meet, automation volunteers are involved in multiple steps to verify that the correct times (and DQs) are entered into the automation computer. Prints and posts times and ribbon labels. Works sitting down in the shade on the deck. (MCSL Automation Training Replay).
Works during meets to complete ribbon information (usually involves putting computer-generated labels on ribbons) and places ribbons in team ribbon box.
Takes pictures of the meet, both action shots of the kids diving in/in the water, as well as pictures of them cheering during the races and dressed in themes and other events during the course of the meet.
HOME MEET
ADDITIONAL JOBS WHEN HOSTING
Voice of the Eagles and DJ. The meet announcer is in charge of any warm-up announcements and relaying other pertinent meet information as directed by the team rep. Always be aware of the pool rules regarding timeliness and use of the loudspeaker/sound system. Responsibilities also include announcing the next event shortly after the last swimmer in the previous event has finished (usually upon hearing the referee execute 3-4 quick whistle chirps in succession). The announcer also announces half-time and final scores, all-star qualifying times, and any pool/team records.
Gathers all time sheets from the timers, and DQ cards from Stroke/Turn judges after each heat is completed, and takes them to the automation table. Performs other misc. duties as needed. Requires a great deal of walking- great for those counting daily steps!
Selling, set up and breakdown of food and beverage.
Prior to meet, picks up food (e.g. donuts, chick-fil-a, etc.) for concessions.
Prior to meet, purchase ice (will be reimbursed) and stocks up freezer for concessions.
Apparel: Organize / lead the team apparel ordering and distribution (suits, caps, t-shirts, etc).
Banquet: Organize and lead the end-of-year banquet.
Friday donuts (Friday AM): Drive and pick up donuts for Friday morning swim practice. (Visit signup genius for 2025)
Senior Events: Coordination of Senior Day.
Slide show: Creation of the end-of-year slide show.
Social event: Lead one (or more) of the fun Friday or social events. (visit the sign up calendar)
